1.Basic Policy
SCHOLE Corporation (hereinafter, “the Company”) complies with the Act on the Protection of Personal Information (hereinafter, the “APPI”) and other applicable laws and regulations, and appropriately obtains, uses, and manages personal information in providing corporate training services that utilize business management simulations (BMG), the BMG border-crossing learning program, the Company website, and related inquiry, trial session, seminar, and event operations (hereinafter collectively, the “Services”).
In this Policy, the terms “personal information,” “personal data,” “retained personal data,” and “personally related information” shall have the meanings defined in the APPI.
2.Scope of Application
This Policy applies to the handling of personal information in the following services and operations.
・Corporate training services utilizing business management simulations (BMG)
・BMG border-crossing learning program
・Browsing of the Company website and use of inquiry forms
・Applications for trial sessions, seminars, and events
・Related business discussions and meetings
3.Information We Obtain
In providing the Services, the Company may obtain the following information. The information actually obtained varies depending on the services you use.
(1)Information provided directly by the individual
・Name, email address, company name, department, and job title
・Inquiry details and applications for trial sessions or seminars
・Responses to post-training surveys
(2)Information recorded by the Company in connection with use of the Services
・Decision-making information recorded when using the business management simulation (BMG)
・Browsing information on the Company website obtained when an inquiry form is used (viewed pages, referral sources, advertising click IDs, and other browsing information obtained for reference in responding to inquiries). Together with the inquiry form input, this information is used for inquiry handling through an external service that submits forms on our behalf (see Section 9 for details)
(3)Information automatically obtained when you use the Company website
・Cookies, browsing history, IP address, browser information, etc.
・Measurement data from access analytics and advertising delivery services (see Section 12 for details)
(4)Information provided by contracting companies, etc.
・Names, companies, departments, job titles, contact details, and other information necessary to conduct training for training coordinators and participants, as provided by contracting companies, etc.
4.Methods of Collection
The Company obtains the information described in the previous section by the following methods.
・Direct entry by customers into inquiry forms, application forms, surveys, etc.
・Provision through contracting companies, etc.
・Automatic recording in connection with use of the Services (operation of the training system, browsing of the Company website, etc.)
・Provision through business discussions and meetings (in person or via online meetings)
5.Purposes of Use
The Company uses obtained personal information for the following purposes.
1.Provision and operation of the Services (training programs and border-crossing learning programs)
2.Contract performance and contract administration, including issuance of invoices and quotations
3.Measurement of training effectiveness and preparation of reports for participants and contracting companies
4.Responding to inquiries and applications for trial sessions and seminars
5.Provision of generative AI features within the Services (see Section 11 for details)
6.Maintenance of the Services, quality improvement, and consideration of new features
7.Marketing activities (email communications, website effectiveness measurement, optimization of advertising delivery, etc.)
8.Prevention of unauthorized use, such as unauthorized access
9.Purposes incidental to the above purposes of use
The Company will not use personal information beyond the scope of the purposes for which it was obtained.
6.Provision of Information to Contracting Parties, etc.
In connection with provision of the Services, the Company may provide personal information as follows.
When the Company’s contracting party is the company to which a participant belongs, the Company provides that company with reports compiling decision-making records during training and survey results with individual names, among other materials. When the Company’s contracting party is an agency or other business operator, the Company provides that operator with reports compiling survey results with individual names, among other materials.
7.Information Sharing in Border-Crossing Learning
The BMG border-crossing learning program is conducted jointly by multiple companies. Certain information such as participants’ companies, job titles, and surnames may be shared with other participants and coordinators of participating companies in the same session. In addition, results of pre-assessments (such as StrengthsFinder) may be shared with other participants to promote mutual understanding and team building. The scope of shared information will be communicated in advance at the time of application or in training materials.
8.Provision to Third Parties
The Company handles personal information in accordance with the APPI and other applicable laws and regulations. Provision to contracting companies, other participating companies in border-crossing learning, and agencies as described in the previous two sections (Sections 6 and 7) is made to the extent necessary based on contract performance or the information provided at the time of application.
Otherwise, in principle, the Company will not provide personal information to third parties except when it has obtained the customer’s consent or when permitted by law. However, the Company may provide personal information in the following cases.
1.When it is necessary to cooperate with a national or local government agency, or a party entrusted thereby, in executing duties prescribed by law, and obtaining the individual’s consent is likely to impede the execution of such duties
2.When succession of business arises due to acquisition, merger, business transfer, etc. (only to the extent permitted by applicable laws)
3.When personal information is jointly used with a specified party, and the individual has been notified in advance, or the information has been made readily accessible, regarding that fact, the items jointly used, the scope of joint users, the purposes of use, and the party responsible for management

9.Outsourcing
In providing the Services and performing internal operations, the Company uses external services such as cloud services, customer management services, online meeting services, and generative AI services. For major services that have a comparatively large impact on users and the purposes of their use, please see Main External Services Used by the Company.
For those that constitute outsourcing, the Company exercises necessary and appropriate supervision through contracts or other appropriate means. Use of generative AI services is set forth in Section 11.
10.Use of Foreign Business Operators and External Services
In accordance with applicable laws and regulations, the Company confirms the terms of contracts with each operator, the conditions for data handling, and other necessary matters, and takes necessary measures before using these services. For major operators, please see Main External Services Used by the Company. The Company uses these operators after reviewing their terms of use, privacy policies, and related documents.

11.Use of Generative AI Services
The Company uses generative AI services in certain features of the Services and in internal operations. When personal information is handled in connection with generative AI services, use is limited to the scope necessary for business purposes, and the Company takes necessary security measures such as using contracts and settings that do not permit use for model training, managing access rights and connection destinations, and having humans review output. When audio transcription or minutes are created for business discussions or meetings, the purposes of use and related information will be communicated in advance.

12.Cookies, Access Analytics, and Advertising Measurement
The Company website uses cookies and similar technologies for the following purposes.
・Access analytics: measuring page views, inquiry completions, and other events for site improvement
・Advertising effectiveness measurement: measuring traffic and conversions (such as inquiry completions) via advertising for evaluating advertising delivery

Browsing information obtained when an inquiry form is used is processed, together with inquiry form input, through an external service that submits forms on our behalf, as set forth in Section 3. Such information is sent after consent to the Privacy Policy is obtained on the inquiry form.

13.Use of Statistical Information
Information obtained through the Services that has been aggregated and analyzed may be used or provided as statistical information that does not identify individuals, for purposes such as service improvement and explanatory materials for customers.
In addition, the Company may publish on its website or elsewhere the fact that training was conducted, an overview of the training, the number of participants, and participant comments. When publishing individual comments such as participant feedback, the Company takes necessary measures so that individuals and contracting companies cannot be identified, such as omitting names and company names.
14.Security Control Measures
To prevent leakage, loss, or damage of personal information and otherwise ensure security, the Company takes the following measures.
・Supervision of contractors through contracts or other appropriate means
・Technical protective measures such as encryption of communications (HTTPS)
・Setting and management of access rights according to business necessity
15.Retention Period
The Company retains personal information for the period necessary to achieve the purposes of use or as required by law or contract, and thereafter deletes or anonymizes it by appropriate means. Requests for deletion, etc., will be handled in accordance with the procedures set forth in the following section.
16.Disclosure, Correction, Suspension of Use, Erasure, etc.
1.Customers may request disclosure, correction, addition, deletion, suspension of use, etc. (hereinafter, “disclosure, etc.”) regarding their retained personal data held by the Company.
2.Requests are accepted through the inquiry desk in Section 17. Customers who use the Services through a contracting company may also submit requests via that contracting company.
3.Upon receiving a request for disclosure, etc., the Company will verify the identity of the requester and respond within a reasonable period in accordance with applicable laws. However, the Company may be unable to respond in whole or in part in any of the following cases, in which event it will notify the requester together with the reasons.
・There is a risk of harming the life, body, property, or other rights or interests of the individual or a third party
・There is a risk of seriously impeding the proper conduct of the Company’s business
・It would otherwise result in a violation of laws or regulations

18.Revisions
This Policy may be revised in response to amendments to laws or changes in business operations. In the event of material changes, the Company will provide notice by posting on the Company website or by other appropriate means. The revised Policy takes effect when posted on the Company website.
